ACIU-UK (“we”, “us”, “our”), Registered Charity No. 1216671, is committed to protecting the privacy and personal data of our members, volunteers, donors, event attendees and website visitors. This policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over it, in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What information we collect

  • Membership details: name, address, email, phone number and, where applicable, date of birth.
  • Event and programme participation records, including sign-ups and attendance.
  • Donation and Gift Aid information, including payment references (we do not store full card details).
  • Volunteer records, including DBS check status where relevant to safeguarding roles.
  • Website and communications data, such as email correspondence and, where used, cookies or analytics
    data.

How we use your information

  • To administer membership and process membership fees.
  • To organise and deliver events, programmes and welfare support.
  • To process donations and claim Gift Aid from HMRC where applicable.
  • To communicate updates, newsletters and event information.
  • To comply with our legal and regulatory obligations, including reporting to the Charity Commission.

Legal basis for processing

We process personal data on the basis of consent (e.g. newsletter sign-up), contract (e.g. membership), legal obligation (e.g. Gift Aid and safeguarding records), and legitimate interests (e.g. keeping members informed of events).

Sharing your information

We do not sell or rent personal data. We may share data with trusted third parties strictly where necessary, such as HMRC (Gift Aid), our bank, or DBS-checking bodies for safeguarding purposes. We do not transfer personal data outside the UK except where a service provider requires it and appropriate safeguards are in place.

Data retention

We retain personal data only for as long as necessary to fulfil the purposes described in this policy, and in line with statutory requirements (e.g. financial records are typically retained for six years).
